ABOUT THE OPPORTUNITY

As part of the UK team, the Team Assistant will provide support in the day to day running of ONE’s UK Team, providing administrative support to maximize the team’s productivity and helping deliver impactful and innovative campaigns.

The ideal candidate will be an energetic and enthusiastic team player. This is a part-time role reporting to the Executive Director for United Kingdom, Middle East and Asia Pacific and will be based in our London office.

IN THIS ROLE, YOU WILL:

  • Support the ED to ensure an accurate and detailed calendar for the ED, manage and log incoming scheduling requests, schedule meetings, proactively communicate changes, and anticipate and respond to scheduling conflicts
  • Assist in organizing internal and external meetings, including notifying attendees, reserving conference rooms, handling logistics, setting up conference rooms and video-conference, drafting and distributing agendas, as needed, collaborating with other assistants to successfully coordinate schedules across teams, and schedule all team meetings
  • Receive and distribute incoming mail, track and reconcile monthly credit card statements, complete and submit expense reports in a timely manner
  • Provide general support in the London office to ensure the provision of office supplies, interaction with delivery agents and visitors to the office, and help ensure a productive and enjoyable office environment
  • Manage travel arrangements and reservations for ED UK
  • Assist with logistics for events, board meetings including hotels, transportation, agenda, catering, side events, and printed materials
  • Draft, proofread and edit contents for various communications
  • Any other duties as appropriate to the role

WHAT YOU BRING TO ONE

  • Strong understanding of the critical role an administrative assistant plays in ensuring the department functions effectively and eager to contribute in this capacity
  • Proficient in Microsoft Office Suite, Google Suite, and Project Management/Task management software.
  • Strong verbal and written English communication skills
  • Excellent writing and editing skills
  • Very well organized, extremely detail-oriented and able to problem solve
  • Flexibility and resourcefulness to respond to a fast-paced work environment with shifting deadlines
  • Ability to work effectively in a global team environment and strong interpersonal skills
  • Experience of working within a campaigns, advocacy, or communications environment
  • A commitment to ONE’s mission
  • Ability to work and live in the United Kingdom is required

LANGUAGE SKILLS:

Fluency in English required. Proficiency in other languages such as French and German is a plus.

TRAVEL:

Travel up to 5%.

COMPENSATION AND BENEFITS:

ONE offers competitive compensation and an exceptional benefits package along with the opportunity to contribute to worldwide causes impacting those most in need.

GBP 18,000 – GBP 20,000 per year
